HireBuz ("we," "our," or "us") operates the website located at hiirebuz.vercel.app (the "Site"). We are a global recruitment agency connecting US-based industrial companies with engineering and manufacturing professionals worldwide.

This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and what rights you have regarding your data. We are committed to handling your information responsibly, transparently, and in accordance with applicable privacy laws including the California Consumer Privacy Act (CCPA) and broadly accepted international privacy principles.

By using the Site or submitting information through any form or tool on the Site, you agree to the practices described in this policy.

2. Information We Collect

We collect personal information only when you voluntarily provide it to us. We do not collect data through passive tracking systems beyond standard web cookies described in Section 8.

2a. Contact Form

When you submit the contact form on the Site, we collect:

  • Full name
  • Email address
  • Phone number
  • Company name (optional)
  • Your message and the subject of your inquiry

2b. Chatbot

Our on-site recruitment chatbot collects the following information when you engage with it to submit a hiring request or career inquiry:

  • Full name
  • Email address
  • Phone number
  • Professional details you provide during the conversation (such as industry, role type, hiring volume, experience level, or job preferences)

This information is collected solely to process your inquiry and connect you with the appropriate recruitment team.

2c. Newsletter Subscription

If you subscribe to our insights newsletter through the Insights page, we collect your email address only. We do not collect names or any other personal data through newsletter sign-up.

2d. Information We Do Not Collect

We do not collect:

  • Payment card or banking information
  • Government-issued identification numbers
  • Login credentials or account passwords (we have no user account system)
  • Sensitive personal categories such as race, religion, health, or biometric data

3. How We Use Your Information

We use the personal information you provide for the following purposes:

  • To respond to inquiries: Contact form and chatbot submissions are used to respond to your hiring or career inquiry and to facilitate recruitment introductions.
  • To deliver recruitment services: Information you provide helps us evaluate your hiring needs or candidate profile and match you with appropriate opportunities or talent.
  • To send newsletters: Email addresses submitted through our newsletter form are used exclusively to send recruitment insights, industry trend articles, and relevant updates from HireBuz. You may unsubscribe at any time.
  • To improve our services: We may review aggregated, non-identifiable patterns in how users interact with the Site to improve performance and user experience.
  • To comply with legal obligations: We retain certain records as required under applicable law.

We will not use your personal information for any purpose that is materially different from those described above without first notifying you and, where required, obtaining your consent.

4. Data Sharing

We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes.

We may share your information only in the following limited circumstances:

  • With recruitment partners: If you are a job seeker, we may share your details with prospective employer clients who have an active, relevant hiring need. We will not share candidate information speculatively or without a legitimate recruitment purpose. If you are an employer, we may share your hiring requirements with potential candidates.
  • With service providers: We use Supabase as our cloud database provider to store form and chatbot submission data securely. Supabase processes this data on our behalf and is bound by contractual data processing obligations.
  • For legal compliance: We may disclose information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect our legal rights or prevent imminent harm.

5. Data Storage

All personal information submitted through the Site is stored securely in Supabase, a cloud-hosted PostgreSQL database platform with industry-standard encryption at rest and in transit. We implement access controls to ensure that only authorized personnel at HireBuz can access stored personal information. We do not store personal data in local files, email inboxes, or unencrypted systems.

6. Data Retention

  • Contact form and chatbot data: Retained for up to 24 months from the date of submission, or until your inquiry has been fully resolved and no further recruitment engagement is likely.
  • Newsletter email addresses: Retained until you unsubscribe. Upon unsubscription, your email will be removed from all active mailing lists within 10 business days.
  • Legal records: Where required by applicable law, certain records may be retained for a longer period in compliance with legal obligations.

After the applicable retention period, personal data is securely deleted from our systems.

7. Cookies

The HireBuz website uses a minimal number of cookies necessary for the Site to function correctly. We do not use advertising cookies, retargeting pixels, or third-party behavioral tracking tools.

Cookies we may use include functional cookies required for basic site navigation and performance. You may configure your browser to refuse or delete cookies. Doing so may affect certain Site features but will not prevent you from accessing core content.

8. Your Rights

California Residents (CCPA)

If you are a California resident, you have the right to:

  • Know what personal information we have collected about you, including the categories, sources, and purposes of collection.
  • Access a copy of the specific personal information we hold about you.
  • Delete your personal information, subject to certain legal exceptions.
  • Opt out of sale: We do not sell personal information. No opt-out mechanism is required because no sale occurs.
  • Non-discrimination: We will not discriminate against you for exercising any CCPA right.

International Users

If you are located outside the United States, you may have rights under your applicable national or regional privacy law, including rights of access, correction, erasure, restriction of processing, and data portability. We will make good-faith efforts to honor these rights where feasible.

9. Data Security

We take reasonable and appropriate technical and organizational measures to protect your personal information against unauthorized access, loss, alteration, or disclosure. These measures include encrypted data transmission (HTTPS/TLS), encrypted data storage through Supabase, role-based access controls, and regular review of data handling practices.

No data transmission over the internet can be guaranteed to be 100% secure. While we take every reasonable precaution, we cannot guarantee the absolute security of data you transmit to us.

10. Children's Privacy

The HireBuz Site is intended for business professionals and is not directed to individuals under the age of 16. We do not knowingly collect personal information from people under 16. If you believe we have inadvertently collected such information, please contact us at info@hirebuz.com and we will delete it promptly.

11. Third-Party Services

Supabase: We use Supabase (supabase.com) as our cloud database and backend infrastructure provider. Supabase stores form submissions, chatbot lead data, and newsletter email addresses on our behalf. Supabase's own privacy and security practices are described at supabase.com/privacy.

We do not currently use third-party advertising networks, social media tracking pixels, or data broker services on the Site.

12. Changes to This Policy

We may update this Privacy Policy from time to time as our practices evolve or as required by law. When we make material changes, we will update the "Last Updated" date at the top of this page. Continued use of the Site after a policy update constitutes acceptance of the revised terms.
